PYO Minutes from Meeting on Sept. 5, 2007

Secretaries Report: was read. Gary P. made the motion to accept the minutes, seconded by Andy V. Motion carried.
Treasurers Report: Update given.
Summer Tournaments: Boys Last Tournament went smoothly. Receipts were good. 1 parent didn’t show for concessions. Several umpire no shows: 4 on Sat., 2 on Sunday. Umpires signed up but then went to the Appleton tournament instead. Address at April meeting.
T-shirts ordered during the tournaments are in. Pick up is 6-7pm on Monday, Sept. 11 at Memorial Park. Home Team Sports and Apparel donated $200 from the sales.
Suggestion for girl’s tournament for concessions at the Middle School – rent a concession trailer unit from Piggly Wiggly to provide a better environment and more variety of concessions.
Basketball – Coaches submitted their names for head coach consideration last month. Some additions at the September meeting listed in BOLD. First name is the lead coach for the grade.

Tournament dates are set for the Girls Tournament and 3rd grade Boys on Jan. 11,12,13 and Boys Jan. 18, 19, 20 for grades 4-8. Concession stand coordinators are needed for both tournaments. Rule will be added to the Pulaski Tournament – No more than 2 coaches and 1 statistician on the bench during games. Coaches meeting will be held before the Oct. 3rd meeting at 6 pm at LGI1 at the High School.
Gym scheduling was discussed. The outlying schools will have 1 night a week for PYO. Glenbrook and PCMS will have times available. Sign up will be done and submitted as a group. Diane Przybylski to coordinate. First sign up will occur at the coaches meeting on Oct. 3rd. Tryouts will be held between Oct. 15 and Oct. 31. Team selections made and announced by Nov. 1.
Bleachers Update: Darrel Splan brought the information as requested. There have been donations for 1 large set for diamond B and purchase made. The second large set for diamond C has $4000 pledged. Smaller sets for the other diamonds are also still needed. The existing bleachers have been painted and are moving to the Polka Grounds. After much discussion, a motion was made to donate $4000 for bleachers. A vote will take place at the October meeting. In addition, Steve Sorenson and Bob Kapla volunteered to work with the PGSA, Optimists and Village to develop an improvement plan for Memorial Park. Ideas are diamond work, watering, batting cage, etc.
Other Business:
Good discussion on the receptiveness to new ideas and new members.
Recommendation for fee change for PYO membership. Higher fee, annual fee, by sport fee, hardship waivers were all discussed. This will be reviewed as a Bylaw change at the Feb. meeting.
Donation list needs to be updated and posted on website. Diane P. and Steve A. to address.
One baseball team went to local businesses to solicit donations for travel expenses for the Cal Ripken national tournament. This was discussed as it is not appropriate because PYO provides the funding, uniforms, etc. for the team. There are no expenses to the players except to travel to tournaments. The out of state travel was an extra opportunity that the team chose to do as part of the Cal Ripken program. Soliciting additional donations from businesses reflects poorly on PYO and resulted in numerous complaints to the PYO president.
A donation for the Volunteer Fire Dept.’s help at the tournament was discussed. Andy V. made a motion and Keith J. seconded to provide 3- $25 gift certificates to the volunteers and $250 donation to the Fire Department. Motion carried.
A congratulations letter from Dynamic Designs for the 18 yr old girls team was read.
