PYO Minutes from Meeting on May 7, 2008

Secretaries Report:  was read. Gary N. made motion to accept, Bruce R. seconded.  Motion carried.  

 

Treasurers Report:  was read.  Kevin B. made a motion to accept, Gary N. seconded.  Motion carried.  PACE needs a letter on PYO letterhead with our new officers before they will issue the Deans Distributing check to Rich.  Diane will take care of. (Submitted to PACE on May 9, 2008).

 

ScholarshipsCommittee volunteers reported that they chose to award 5 - $300 scholarships.  Tina Watermelon will make the presentations on May 21.

 

Memorial Park and Bleachers:  The vote on the motion made by Steve Sorenson and seconded by Kevin Bliese to donate up to $3000 for the set of bleachers was taken.  The total amount needed to fulfill our 1/3 off the cost is $2800.  The motion passed with a unanimous vote.  The bleachers are in place at the diamond thanks to PGSA covering our portion of the purchase ahead of time so they could be ready for the softball and baseball season.

 

Softball and Baseball –Concession Stands – Renae Bliese will buy the food but will not coordinate.  Need coordinators for each tournament – planning on one parent from each team to coordinate.  Wayne Butz will take care of girl’s trophies and Mike Zablocki will take care of boy’s trophies.  Northern Designs is doing t-shirts again.  Need all teams signed up for the Pulaski tournaments to submit rosters that we can get to Northern.  Sales increase dramatically when the team rosters are printed on the clothing.  Tournament directors are in charge of this.  Sheila McDermid, Joe Adamski and Gary Karcz Jr. will be beverage servers.  Coaches meetings not held – move to Feb./March agenda for next year so this happens earlier.   Tournament dates were clarified.  Girls will start play on Wednesday as needed.  Boys will start on Thursday, July 17 as needed and T-ball, etc. will start on Thursday, July 31 as needed.  Gator and field conditioner purchase or rental was discussed.  Equipment is needed by May 22.  Gary P. to follow up with John Deere Dealer.

 

Don Bogacz Retirement – Ideas were discussed to manage the tournament process starting with basketball this year now that Don has announced his retirement from these duties.  This is a summary of the discussed options:

Signing up teams for tournaments -
        Coaches decide which they want to go to and fill out the registration - commissioner or central person would take care of the checks.

Signing up teams for our tournament -
        Use on line tournament directories to get our registration info out to more people.  Keep up using the mail technique Don used with returns coming back to the PYO, post office box.  Commissioner or central person would keep tabs on the teams registering and cut off at the appropriate number.  This will help with getting schedules out sooner and hopefully reducing the added cost for odd number of teams.

Getting Tournament Schedules and Details after registration -
        All tournament details will be sent directly to the coach for the team registered.

One major consequence of this change is that we will need to identify coaches for the sports much earlier than our current bylaws allow.  The reason for this is that Don does a lot of pre registration for tournaments that we have a long history of attending.  Some of these tournaments fill up very quickly and he signs up teams for them months in advance of the formation of the teams.  As this selection of tournaments moves to the coaches, the coaches will have to be selected much earlier than they are today.  We will discuss and vote on this change in the annual bylaw review in Feb and March 2009.  For 2008-2009 Basketball season, Tina W. made a motion to operate outside Article 7 – 7a by holding a coaches meeting prior to coach confirmation as outlined in the bylaws.  Dave T. seconded.  Motion carried.

Basketball -

We are asking that anyone that is interested in coaching PYO Basketball submit their names to the commissioners (Diane Przybylski or Todd Gutzman) by the June 4 PYO meeting.  This is 2 months earlier than normal.  Those that submit their names will be contacted for a meeting sometime in June to discuss changes to the Pulaski Tournament to make it more successful and to decide what tournaments we want to make sure we get registered for at each grade.  Registrations will be sent in for those tournaments this summer and the teams will be committed to participate.  The lead coaches will still be voted on in September per the bylaws and teams selected in Oct/Nov.  The same process will be used for softball and baseball with coaches submitting their names in December (two months early) so a meeting can be held regarding tournaments.  Last years coaches will be contacted via email regarding this change.  Other potential coaches will be notified via earlier distribution of these minutes via email and the web site.
