PYO Minutes from Meeting on Feb. 4, 2009

Secretaries Report: was read. Motion by Gary N. to accept, seconded by Tina W. Motion carried.
Treasurers Report: was read. Softball and baseball registrations are now coming in. Basketball expenses and income are in. Good results. Both tournaments made about the same amount per grade. The girls weekend had one extra grade running (3rd boys). Motion by Tina W. to accept, seconded by Todd G.
Scholarship Applications: Diane P. will get the applications to the schools. Volunteers for the selection committee were taken. Chairperson is Gary Naparalla, Members are: Bruce Reinhard, Sharon and Mitch Brabender, and Jay Robaidek. In March we will decide how much money the committee has to work with. The applications are due back to the school March 30. The committee will meet, make the selections and report back to the school by May 1.
Basketball: Diane submitted and got approval for 2010 dates from the high school and middle school. No commission volunteers have come forward.

Selection of lead coaches by the board was conducted after the general meeting. Results Pat McDermid lead for 14 Tournament Team, Dan Lawniczak 14 League Team. 12U Girls team lead postponed to March meeting.
Kevin Bliese will reserve the diamonds for the summer tournaments. Boys July 17-19, Girls July 23-26, Boys July 31, Aug 1-2.
Discussed fee changes for the tournaments. Softball Proposed $275 for 12 18, $225 for 10U. Baseball Proposed $275 for 14 and Up, $225 for 9-13, $125 for 7 and 8. Approved.

Number of Tournaments
Currently the number of tournaments that the PYO will pay the entry fee for a sponsored team is not in the operating policies. Our practice has been 7 paid tournaments plus the Pulaski Tournament per team. This year, the recommendation to coaches was to limit the paid tournaments to the same number as the grade level with a max of 7.
Academic and Code of Conduct Standards
Currently the operating policy indicates that WIAA rules apply to all PYO athletes.
In addition to the WIAA, the Pulaski schools have more restrictive rules in place for code of conduct and also grades at the Middle School level.
Dates of Coach Selection
The Operating Policy currently lists August as the month for basketball coach submittals and vote in September. Based on this years experience with team selection and tournament registration, this is early enough. No proposed change.
The Operating Policy currently lists February as the month for baseball and softball coach submittals and vote in March. Based on limited tournament registration availability, the proposal is to move these dates up.
Dates of Tryouts
Currently the dates for tryouts for each sport are not in the Operating Policy. For basketball, the teams were supposed to wait until after Nov. 1. For the older grades in softball and baseball, the tryouts must wait until after the WIAA season is complete for those sports.
Number of Times Allowed to make Constitution and Operating Policy Changes
Our constitution calls for an annual meeting in Feb. to address these matters. There was discussion on a proposal to be able to make and vote on changes multiple times a year. The Treasurer indicated that he believed having this provision would violate the state and federal codes regulating our organization. This matter was tabled. Non Constitution and Operating Policy changes can be made at regular monthly meetings.
Membership Fees
Article III of our constitution reads: Membership is gained by purchasing a Pulaski Youth Organization card for $10.00 per family. This is a one time fee only.

Elections will be held at the March meeting.
Plan Ahead
In March, we will take nominations for new board members. These are 2 year terms and you are required to attend at least 2/3rds of the PYO meetings to be a board member. We will be electing 3 or 4 board members this year.
Motion made by Jay R. and seconded by Todd G. to adjourn. Motion carried. Next meeting Mar. 4 at 7:00 pm in Social Studies Resource Room at the high school.
